We have an exciting opportunity for you to join our team as Project Coordination Team Manager reporting to the Senior Manager, this full-time and permanent position is based in Mumbai-Vikhroli, India and offers regional coverage, allowing you to make a significant impact to our Operations, department and its’ growth.

Purpose of Role

The Project Coordination Manager will spearhead a specialized Project Setup & Maintenance team, aimed at bolstering other critical functions such as billing and the booking of supplier costs to projects. This role is pivotal in bridging the gap between Prospect to Bill (P2B) and Procure to Pay (P2P) processes. Including a focus on overseeing the validation and management of project integrations from Salesforce to SAP, the successful candidate will blend leadership, technical proficiency, and a commitment to strive for operational excellence.

The Project Coordination Manager will ensure flawless execution of project setup, execution, and billing, fostering a culture of quality and continuous improvement.

Key Responsibilities –

With regard to the ongoing operation of the components :

Oversee the validation of project integrations from Salesforce to SAP, ensuring proper setup and approval processes are in place.

Manage the maintenance of project setup master data, including pricing conditions for discounts, admin fees, and usage-based variable billing items, as well as the setup of deposits.

Take charge of setting projects to execution status after complete setup and receiving confirmation from onboarding teams.

Direct and support a team of professionals in the execution of project coordination tasks, including affiliate invoice checks, approvals, and ensuring all relevant costs are onward billed.

Conduct project maintenance activities, including closing and cancelling projects, and conducting pre-billing and post-billing reviews to ensure billing completeness.

Oversee data compilation, review, and analysis of financial performance and reporting, providing critical insights that support key business decisions.

Foster a culture of continuous improvement, identifying process enhancements and leading initiatives for effective solutions.

Key Requirements

Strong commercial and strategic awareness

Specific knowledge of the operational processes and controls relevant to Entity Management, Company Secretarial & Regulatory Filings

Good awareness of the available technology and latest industry developments relevant to the component and functions

Knowledge of change management controls operating within a multinational financial services group

Demonstrable experience in leadership with an ability to display diplomacy and good judgement

ESSENTIAL:

Bachelor's degree in Business, Project Management, or a related field, with a preference for certifications in project management (e.g., PMP, PRINCE2).

Demonstrated experience in project management or coordination roles, specifically with Salesforce and SAP integrations.

Proven leadership skills with the ability to manage and inspire a team.

Exceptional analytical, organizational, and problem-solving skills.

Strong communication skills, capable of effectively liaising between teams and ensuring comprehensive understanding across departments and working closely with senior stakeholders across Vistra, both on and offshore.

A detail-oriented mindset with a commitment to excellence and accuracy in all aspects of work.

ESSENTIAL:

Bachelor’s degree in Business, Project Management, or a related field, with a preference for certifications in project management (e.g., PMP, PRINCE2).
